Index fields
The keywording information for a document is entered to index fields.
Index fieldsKeywording, index fieldsThe type of index field determines the data you need to enter and what you need to consider when doing so. There are different types of index fields, which can be configured differently from keywording form to keywording form.
Please note: If the entry relates to a person, you are required to complete the Personal identifier and End of deletion period fields on the Options tab.
Example: Text field
You can enter letters, numbers, and special characters in a text field. Text fields can also be restricted, e.g. by limiting the maximum length you can enter.
Example: Date field
Only date entries can be entered to date fields, which offer a calendar function.
Information: Links can be stored to the index fields. The links can be opened in a browser window. A web link must start with http, ftp, or https. Use a space to separate the link and display text. Example: http://www.wikipedia.org Wikipedia
. If no display text is entered, the link itself is displayed.
Mandatory fields
Index fields can be configured in such a way that you have to enter a certain number of characters to successfully complete the keywording.

Information: If there are any mandatory fields, the keywording cannot be saved until all of these mandatory fields have been completed.
Keyword lists
Some index field types can be filled in via keyword lists.

Keyword lists are used to standardize keywording information and help you keyword documents faster.
If a keyword list was created for an index field, you can configure the index field to only accept entries from the keyword list.
Information: The ELO Web Client supports dynamic keyword lists.
Click an index field with a keyword list to open the keyword list. Navigate the list using the mouse or the up and down keys.
To edit the keyword list, right-click a keyword list entry.
You can add new keyword list entries or child entries via the context menu and edit or delete existing ones.
F7 search
For index fields without a keyword list, press F7 to open a list of previous entries to the selected fields.
