Configuration - ELO Macros
You can configure the ELO Macros in this dialog box.
Select user: Select a user or option group via the Select user button to assign the user/option group specific settings in the configuration.
Information: It is not possible to select multiple users or option groups. You can only select one user or one option group.
Delete settings (X icon): Click here to delete all settings you made for an option group or other users. This restores the settings to their default values.
General
Show metadata form when filing: If this option is enabled, the Metadata dialog box is shown when filing.
If the Show metadata form when filing option is disabled, the documents are filed with the default metadata form for the file type.
You can define the metadata forms for different file types in the ELO Java Client configuration under Metadata > Metadata forms for different file types.
If a metadata form has not been defined for the file type, the ELO Macros use the setting from the Form for new documents option in the ELO Java Client configuration.
With the default settings, the Basic Entry metadata form is used.
File to selected folder in ELO: If this option is enabled, documents are filed to the folder most recently selected in ELO. Otherwise, the File new document dialog box opens. Select the folder in this dialog box.
Show document after filing: If this option is enabled, the document is shown after filing.
Behavior after filing: Using this drop-down menu, you can choose how external programs should behave after filing is completed.
Information: For technical reasons, the ELO Macros must close documents before filing them.
The following options are available:
- Close application, do not delete document in file system: The external program is closed. The file is not deleted.
- Open document again: The external program remains open. The file is not deleted and is opened again.
- Delete document in file system, close application: The external program is closed. The file is deleted from the file system.
- Do not close application, do not delete document in file system: The external program remains open. The file is not deleted.
- Delete document in file system, do not close application: The external program remains open. The file is deleted from the file system.
Microsoft Word
Apply form fields to metadata: If this option is enabled, form fields created in Microsoft Word are applied to the metadata.
The Apply form fields to metadata option only supports fields from the Word menu item Forms from previous versions.
To allow the ELO Macros to establish a connection to the corresponding field, you must enter the group name of the field as a bookmark in the properties of the form field.
Microsoft Outlook/IBM Lotus Notes
Filing: In this drop-down menu, you specify how ELO should handle e-mails and attachments. Choose from the following options:
- Only file e-mails, attachments integrated: E-mails are filed as documents. Attachments and embedded files are filed integrated into the e-mail.
- The e-mail and the attachments are filed separately to the same folder: E-mails and attachments are filed as separate documents. Embedded files are filed integrated into the e-mail. If the File embedded files option is enabled, embedded files are treated like attachments.
- Attachments are filed with the e-mail as ELO attachments: E-mails are filed as documents. Attachments are filed as such (not integrated into the e-mail). Embedded files are filed integrated into the e-mail. If the File embedded files option is enabled, embedded files are treated like attachments.
- Only the e-mail attachments are filed as separate documents: E-mails and integrated files are not filed. Attachments are filed as separate documents. If the File embedded files option is enabled, embedded files are treated like attachments.
- Confirm via dialog box: The File to ELO dialog box opens on filing. In this dialog box, you can determine how the ELO Macros should handle each specific case. If the File embedded files option is enabled, embedded files are treated like attachments.
Don't show metadata form when filing e-mails and attachments: If this option is enabled, the Metadata dialog box is not shown when filing e-mails.
You can define the metadata forms for e-mails in the ELO Java Client configuration under Metadata > Metadata forms for different file types.
By default, e-mails are filed with the E-mail keywording form.
Filing target for sent e-mails: Enter a filing path for sent e-mails to this field. Press the ¶ button to insert a symbol and separate different levels.
Alternatively: Click Browse to select a path in ELO.
Filing target for received e-mails: Enter a filing path for received e-mails to this field. Press the ¶ button to insert a symbol and separate different levels.
Alternatively: Click Browse to select a path in ELO.
Information: Filing definitions in the respective metadata form are ignored. However, the following variables can be used:
- ##D#: The domain of the e-mail address
- ##M#: The complete e-mail address
- ##N#: Name component of the e-mail address (before the @ symbol)
- ##P#: Personal folder <repository>//<user name>//Personal area (only at the beginning of the path)
- ##R#: Date of receipt (format: YYYYMMTThhmmss)
- ##U#: The ELO user name of the user currently logged on
It is also possible to only read out parts of the respective variable. Use the following syntax:
##<Variable><start variable><character count>#
Example 1: To only read the first three letters of the name component of the e-mail address (0 = start before first character; 3 = read out three characters), enter ##N0,3#.
Example 2: To read all characters of the date of receipt starting from the eighth digit (= from the time), enter ##R8#.
Example 3: The following is an example path for sent e-mails:
##P#¶E-mails¶Sent¶##R0,4#¶##N#
This corresponds to the path: Personal area // E-mails // Sent // <year> // Recipient
Create references for additional recipients: If this option is enabled, reference paths are created for all recipients during automatic filing of sent e-mails.
Please note: The path in the Filing target for sent e-mails field must contain one of the variables (##M# or ##N#) for this to work.
File embedded files: If this option is enabled, embedded files are treated like attachments. The ELO Macros file the documents as defined in the Filing option.
Delete archived e-mail messages in e-mail client: If this option is enabled, e-mails are deleted after filed in the e-mail client.
Automatically archive sent e-mails: If this option is enabled, sent e-mails are archived after sending.
Add prefix to archived e-mail: Enter a string to this field. This string is added to the subject of the e-mail as a prefix to help you differentiate between e-mails that have and have not been archived. The default string is [ELO]
.
Please note: If you do not enter a string, e-mails that are not deleted can be archived multiple times.
Add an [A] before the short name of attachments: If this option is enabled, attachments are labeled with the string [A]
in their short name on filing. The ELO Macros file the documents as defined in the Filing option.
Enter e-mail subject to the short name for attachments: If this option is enabled, the subject of the e-mail is entered to the short name of the attachments. The ELO Macros file the documents as defined in the Filing option.
Default if domain is missing: Enter a domain to be used as default if the domain is missing to this field. The default value is local

Web browser
Direct link: If this option is enabled, the website is stored in ELO as a link. If this option is disabled, the website is archived as an HTML file.
