User manager - Basic settings and permissions
This section describes the user permissions. The rights are described briefly in the following. The sections are arranged according to their order in the User manager area.

Lock account: If the Lock account option is enabled, the user cannot log on to the repository. This also applies for service accounts.

Visible in user lists: If this option is selected, the user shows up in dialog boxes in which users and/or groups can be selected. For example, if a user needs to process a workflow node, the Visible in user lists option must be selected in order so that the user can be selected as the recipient of the workflow.
Visible in user listsRight, visible in user listsAllow interactive logon: If the Allow interactive logon option is enabled, the user can log on to the repository via the logon dialog boxes/pages of the ELO clients. If this option is not enabled, the respective user can only be used as a service account (e.g. the ELO Service account).

Inheritance
There are two check boxes next to the rights described in the following section. The first check box applies to the personal rights of the user. The check box to the right applies to the permissions a user takes on by belonging to a group. If you move the mouse over the second check box, a tooltip appears with the information about which groups the right was inherited from.

Information: The info buttons next to the user rights provide detailed explanations of the individual rights.
Main administrator: Only give this right to the system administrator. Main administrators automatically have very fundamental rights and are able to assign any other right to themselves and other users. Main administrators can edit all users and groups and manage their rights. Main administrators also have other abilities, such as removing locks or creating encryption keys.
Permission settings, ignore allRight, main administratorEdit user data: Select this setting to give a user the right to create and manage other users. However, new users can only be given the same (or fewer) rights as the user who created them.

Change passwordRight, change passwordSAP administrator: This right is used to link ELO to SAP using the ELO ArchiveLink module. This right allows you to manage the keywording form relating to the SAP interface. The keywording form for SAP-administered documents is visible to all users, but can only be edited by the user with this right.
Right, SAP administratorSAPPlease note: The SAP administrator right is not sufficient to perform SAP administration tasks. An SAP administrator requires additional rights. Give the user at least the Edit keywording forms right as well. If the SAP administrator needs to create keyword lists, also give the user the Edit keyword lists right.
DMS Desktop user, no workflows: You should only assign this right to users who only use the components of the ELO DMS Desktop. This is a negative right that prevents users from using workflow functions. Check to see what your ELO license includes.

This right restricts the view in ELO Client for Microsoft Outlook to the E-mail object type. The user only sees the object types MSG and EML assigned to the object type.

Edit repository structure: This right permits a user to create and edit folders. It does not include the right to create new repositories.

Please note that this right overrides all other settings. You have full permission to all ELO entries and are authorized to carry out all activities within the repository.

All data available in the data set will be imported. Data will even be imported if the user who imported it does not have permission to view the entries in the repository. This data will then not be visible to the user. Consequently, all importable data can be imported, regardless of rights.

Export permissionRight, export permissionView document files: This right enables users to see documents in the repository. The keywording will only be visible if no direct keywording display has been configured. The document can be printed, checked out, sent, and opened.
Folder/document options
Reassign form type in repository: The user is able to assign a different keywording form to an entry that has already been filed (with a specific keywording form) in the repository. Please note that doing this may cause keywording information to be lost.

This includes the global keyword list, the keyword lists assigned to keywording forms (both during creation and while keywording a document), the keyword list for workflows, and the keyword lists for version numbers and version comments.
Keyword list, editRight, edit keyword listsEdit expiration date: The user is able to set and edit the expiration date for documents. This right only grants access to the Expires on field on the Options tab of the keywording. The date can be changed by using the integrated calendar.

For approval documents, an editor has the ability to continue to edit previous versions of a version-controlled document without this being visible to the other users of the repository.

Manage workflows: The user may create, edit, and manage workflows and workflow templates. The user may also edit workflows.

Edit master data: This right gives a user access to the font color manager, report options, and key management.
Edit master dataRight, edit master dataEdit scanner settings and profiles: Activating this function gives a user the right to change settings on the Scanning and Scan profiles tabs in the configuration. The user can also manage scan profiles.

Replication sets need to be created and assigned to corresponding entries. This enables entries to be exchanged with other repositories. You can open the dialog box to manage replication sets in ELO menu > System settings > Administration > Replication sets. You can assign entries to replication sets via the Ribbon > Repository > Assign replication sets.

Manage searches: This right enables you to send and configure search requests to the Lucene database. These are required for analyzing data in the ELO repository.
