Best practice tip for Outlook categories

ELOxc has always used the subject marker to highlight archived messages. Using icons would have required fundamental changes to the message data. This is because icons are linked to message classes, so any icons defined by ELOxc would have required changes to the message class when archiving a message. This level of data manipulation would have been unacceptable.

However, in newer versions, ELOxc provides the option to suppress the marker.

Outlook categories are a good way to tag archived messages. To use these categories, you need to make an entry in the "Archive" action (CheckinDef).

Please note: Outlook categories are only assigned if an archiving tag has been set internally.

Preconfigured category

You have the option to select a preconfigured category in Microsoft Outlook.

In this example, the subject is also tagged.

New category

In the next example, we want to create a new category and use it as an archiving tag. As we do not want to tag the subject, we can omit the otherwise mandatory "MatchReplaceDef". For example, you can enter "ELO" to the Outlook category field:

This is sufficient to categorize the message with "ELO".

However, you will notice that the color category is assigned by default (usually red). If you want to assign your own color category to the archiving marker, select the color in the Color Categories dialog box.

The messages list will now look like this:

As the color cannot be assigned, it will not be displayed in the reading pane.

This is because the service account has access to the messages of other mailboxes ("Impersonation"), but the master category of other mailboxes remains inaccessible. What you see is the list from the service account's point of view and that of the mailbox user in the reading pane.

Conclusion

You do not need to edit subject lines with "MatchReplaceDef" to view the archiving status. "Impersonation" does not allow you to assign the category color, meaning that the mailbox owner has to do so themselves, but the named category is retained. This is not necessarily a disadvantage, because every mailbox owner can then select the category color according to their own requirements. The use of Outlook categories can be a suitable alternative to tags. In addition, the "Category" column is already a standard element of the messages list, which also allows you to sort messages by categories.

Recommendation

We recommend defining a universal category for tags. Mailbox owners can then decide for themselves whether to enter the category in the master mailbox.
