Document paths
Description: ELO manages its storage media (physical storage) using document paths. In the Document paths area of the Administration Console, you can set up new media, make moved media accessible or check the free storage space on a medium. The document path specifies where the documents are stored physically.
Document pathDocument path: A document path is required when creating a keywording form. It is the default setting for all documents filed using that keywording form. It describes the physical location where a document is stored. A document path can also be defined as a backup path. You can select a path as a backup path in the dialog box to edit a document path (select the document path in the list and click it).
Please note: A backup path is not a replacement for a backup plan.
Information: You can specify a different document path when keywording a document. However, this is only possible if No fixed assignment was selected as the document path when the keywording form was created.
Document pathInformation: You need to have the permission to Change document paths to edit document paths. Your system administrator can assign this right to you.
Path, createCreating a new document path
1. Click the Add new document path icon.
The New entry dialog opens in the right-hand area of the window.
PathProperties, document path2. Enter the name of the document path under Name.
3. Define other options:
Path: Enter the path on the file system where the files should be physically stored.
Preview path: If you want to save the preview files separately from the documents, enter the path here.
Full text path: If you want to store full text files separately from the documents, enter the path here.
Structure: Define here how ELO stores the documents. Open the drop-down menu to view the possibilities for selection.
StructureExample
- If you select Flat, no child directories, ELO will put all documents in a single directory with no limits.
- For 64k directories with 64k documents, ELO will file a maximum of 64,000 documents in any one of up to 64,000 directories.
Information: The optimum setting depends on your preferred directory structure and also on the storage medium you use.
Use as backup path: Selecting the check box makes the path available as a backup path to back up data. It can be selected in the Document paths area under Assign default document paths, Restore path.
Backup path, useDo not restore from backup path: The path is not used to restore documents.
Read-only: Documents will be stored with write protection.
WORM path: WORM is the abbreviation for: write once read many. If this option is selected, the path can be used for applications such as jukebox storage.
ELO will automatically create the following fields in this dialog box:
- Internal ID
- Default path
- Created on
- Changed on
The internal identification number is displayed when the path was created or changed.
ID number4. Click Save to confirm your entries.
The new path is shown immediately in the list on the left-hand side.
Result
All document paths will now be used according to the applied settings to save and restore documents.
