Create data set

Once a data set form has been downloaded to the device, you can start creating data sets:

1. Tap the CREATE DATA SET button on the main action bar.

The Select form dialog box appears.

2. Tap the form that you want to fill out.

The Edit dialog box appears along with the selected form.

In this dialog box, you fill out the form, add files, save the data and finalize the data set.

1. Tap the fields to fill out the form. The type of entry here depends on the field type.

Add file

The number of files you can add/must to a data set depends on the keywording form. You create the keywording form in the ELO Administration Console.

You can select the following options in the ELO Administration Console for a keywording form:

Usage - Folders: If this option is enabled, data sets are created as folders. You can attach multiple files to a data set. However, you do not have to attach a file. The FINISH button becomes active as soon as you have filled in all of the form's mandatory fields. Attachments are filed to the repository with the Basic entry keywording form.

Usage - Documents: If this option is enabled, data sets are created as documents. You must attach a file. You cannot attach more than one file. The FINISH button becomes active as soon as you have filled in all of the form's mandatory fields and have selected a file.

If both options are selected, the conditions for the Usage – Documents option will apply.

You can add a file as follows:

1. Tap the document icon on the action bar.

The Select file dialog box appears.

2. Select one of the following options to add a file:

  • From file system: Opens the Select file: Detected file systems dialog box. Navigate through the folder structure on your device to select a file.
  • With another app: Opens an external app you can use to upload files.
  • Take a photo: Opens the camera app on your device to take a picture, which can be added to the data set.

3. Select a file.

The new file is displayed in the Edit dialog box on the FILES tab.

Remove added file

If the data set form was linked to a folder form, you can remove any attached files.

1. Open the Files tab in the Edit dialog box.

2. Long tap the file you want to remove until the context menu opens.

3. Tap the X icon in the context menu.

The file is removed.

Change added file

If the data set form was linked to a document form, you cannot remove attached files. These data sets always require a file attachment. You can select another file to replace an existing attachment.

1. Open the Files tab in the Edit dialog box.

2. Long tap the file you want to change until the context menu opens.

3. Tap the document icon in the context menu.

The Select file dialog box appears.

4. Select one of the following options to add a file:

  • From file system: Opens the Select file: Detected file systems dialog box. Navigate through the folder structure on your device to select a file.
  • With another app: Opens an external app you can use to upload files.
  • Take a photo: Opens the camera app on your device to take a picture, which can be added to the data set.

5. Select a file.

The new file is displayed in the Edit dialog box on the FILES tab.

Save changes

If you have not filled in a data set completely or do not want to load it to the repository yet, you can save it.

1. In the context menu, tap SAVE to save the form data.

The Edit dialog box closes. The data set is now saved in the Data sets work area. The data set has the status Incomplete and is not yet loaded to the ELO repository.

As long as the data set is located in the Data sets work area, you can see detail information on the particular data set under the SAVED VALUES tab.

All of the data entered so far in the selected data set is displayed in the Form data detail area.

In the Files area, you can see any files that may have been attached. To view an attached file, first tap the file and then the eye icon in the context menu.
