Filing E-mails to ELO
Objective
Filing e-mails is a central purpose of the client. When filing to the ELO repository, users need to add keywording. The version information will also be requested.
Step by step
1. Select the desired e-mail in Outlook. You can also select multiple entries by pressing CTRL.
2. Hold down the left mouse button and drag the e-mail(s) to the desired ELO folder in the repository tree.
When you hover over a folder with child folders, the folder expands automatically.
3. Release the button over the desired ELO folder.
Alternatively: Select the e-mail in Outlook and click the File tab on the ribbon and then Save file as in ELO. This opens a dialog box that asks you to select a filing location. You can also select this function in the context menu.
The File e-mail dialog box appears.
4. Determine how the e-mail should be filed. There are four different options. You can also save your selection so that the dialog box does not appear the next time you file an e-mail.
The Keywording for ... dialog box appears.
Once the keywording is complete, the version information query appears with the option to enter a comment.
Result
The e-mail has been filed in ELO.
"Filed" marker
The e-mails from Microsoft Outlook are marked as "filed" after filing to the ELO repository. An [ELO] is inserted in front of the subject by default. However, you can change this prefix in the configuration by going to the ELO Repository tab on the ribbon, then selecting Tools > Configuration > Repository > E-mail filing.
