Finding documents with ELO iSearch

Objective

To find a document that was filed to the repository.

Requirement

You must have filed at least one document to the ELO repository.

Step:

There are different ways to search for documents in the repository. In the following, the method using ELO iSearch is described.

1. Switch to the Search work area.

The Search tab is active on the ribbon. The Search placeholder text is in the search field of ELO iSearch.

2. Click in the search field of ELO iSearch.

The search field is active. The cursor in the search field blinks.

3. Enter a search term.

As soon as you type the first letters of the search term, ELO iSearch attempts to provide you with relevant suggestions. If ELO iSearch finds corresponding terms, a drop-down menu opens with suggestions. If you enter additional letters, ELO iSearch updates the suggestions accordingly.

4. Click a term.

The search term is applied to the search field. The search starts immediately.

Alternatively: If you do not want to select any of the suggestions, but want to use the exact search term that you entered, click the Search button.

Information: If you enter multiple terms in the search field, the search will only return entries in an area (full text, keywording, feed) that contain all the terms you are looking up.

If you want to search for terms in multiple areas, use the function in X fields. You can choose between the areas full text, keywording, and feed.

Result

The search results appear in the Search work area below the search field.

You can sort the results by different criteria. To do so, click the drop-down menu to the top right of the Search work area.

Filter

ELO iSearch offers the option of adding filters. These filters can be used to refine the search.

The ELO Web Client has the following filters:

Entry type: Only entries with the selected entry type (folder, image document, Word document, ...) are displayed as hits.

Date: Only entries with the selected document date are displayed as hits.

Filed by: Only entries filed by a specific user are displayed as hits.

Form: Only entries keyworded with the selected keywording form are displayed as hits.

All index fields: Only entries where the search term comes up in an index field are shown as hits.

Select index field: Only entries where the search term appears in the selected index field are shown as hits.

Feed: The search only returns entries that come up in feed posts.

Editor: Only entries for which the selected user is entered as the editor are displayed as hits.

Add filter

The different filters can be inserted according to a simple principle. We will demonstrate this in the following using the Date filter.

1. Click the Date button.

The Date filter field appears below the search field in ELO iSearch.

2. Click the arrow icon after the field.

A drop-down menu and a calendar field appear.

Information: The selection options vary depending on the filter.

In the drop-down menu, you see a list of time periods and years. The number of possible results is shown in brackets.

A precise date may be selected in the calendar field.

3. Click a period, year or date.

Information: When the user clicks the Select index field filter, the Select index field dialog box appears. Use this dialog box to choose a keywording form and then an index field.

The selected setting appears in the filter field.

Alternatively: Enter the desired period to the input field. You can choose from the following options.

  • -xh = last X hours
  • -xd = last X days
  • -xm = last X months
  • +xh = next X hours
  • +xd = next X days
  • +xm = next X months

Optional: You can negate the selected filter in the context menu.

4. Click Search.

The search starts. The search results appear in the Search work area.

Combine filters

The filters can be combined in different ways:

Multiple filters: By combining various filters, you can limit the search results using multiple criteria. This allows you to create very precise search requests.

Multiple filters of one type: Use multiple filters of the same type to expand the filter. For example, two Date filters allow a from-until search. If you use multiple Entry type filters, you can use the OR operator to search between the selected entry types.

Adding filters via the faceted search

The faceted search in the ELO Web Client provides an additional option for working with filters. When the faceted search is enabled, dynamically generated filter suggestions appear below the ELO iSearch search field.

Information: The faceted search must be enabled in the configuration. You can find more information on this in the Administration chapter.

This is how you use the faceted search:

1. Enter a search term to the ELO iSearch search field.

Possible filters appear below the search field. They are organized by filter types. The number of possible hits is displayed to the right of the respective filter.

Information: If no filters are displayed, there are either no filter options or the filter options are hidden. If the filter options are hidden, click Show filter options.

2. Click a filter.

The filter is inserted below the search field. The filter can be removed using the X icon.

Depending on the selection, you see additional filter options or the filtered search result.

Optional: Repeat step 2, if required, until you have sufficiently narrowed down the results list.
