Start ad hoc workflow
Use the Start ad hoc workflow dialog box to create a new ad hoc workflow.
Ad hoc workflows are predefined in ELO and can be set up with relatively little effort. However, they offer less options compared to default workflows.
The Start ad hoc workflow dialog box is split into three parts:
- Name and type
- Select users
- Completion
Name and type
Name: Name the ad hoc workflow via the Name field.
Type: Select the type of ad hoc workflow in the Type field.
The following ad hoc workflow types are available:
Serial approval: The workflow is passed forward to the individual participants sequentially. A participant can end the workflow prematurely, e.g. by not approving a document.
Parallel approval: The workflow is distributed in parallel. All recipients receive the workflow at the same time. Each participant must approve the workflow.
Serial inform/distribute: The workflow is passed forward to the individual participants sequentially. The participants must confirm receipt of the workflow one after another. As long as the user does not confirm notification, the workflow is not passed forward to the following participants.
Parallel inform/distribute: The workflow is distributed in parallel, that is all recipients receive the workflow at the same time.
Select users
Job instruction: Use the Work instruction field to enter a short notification text, if needed.
For user/group: Select the workflow recipient(s) from the drop-down menu under For user/group.
In the field below For user/group, you can see which recipients have already been selected. Click the X icon to remove the users.
Enter individual job instruction: Use the Enter individual job instruction field to enter an individual notification text for the selected user, if required. Press the ENTER key to confirm the text.
Order: Use the arrow icons to move the selected recipient within the recipient list.
Expand: The Expand button enables you to view the individual members of a group. To do so, mark a group you selected and then click Expand. You can now remove members by clicking the X icon.
Escalation management: In the Escalation management dialog box, you can set escalations for ad hoc workflows.
Show members: If you selected a group, you can click the Show members button to view the group's members.
Completion
Recipient: Use the drop-down menu in the Recipient field to select who should be notified after the ad hoc workflow is completed.
Success notification: Use the optional Success notification field to enter a message that the recipient will receive when the ad hoc workflow has been completed.
Not approved notification (approval workflows only): Use the Not approved notification field to enter a message that the recipient will receive when the ad hoc workflow has been canceled.
Withdraw the workflow from all users as soon as one user does not approve it (Parallel approval workflows only): If this option is enabled, all recipients must approve the workflow. Otherwise, the ad hoc workflow is canceled.
End script: If needed, you can enter the name of a script to the End script field that will be run when the ad hoc workflow is completed.
OK: Click OK to start the workflow.
Cancel: Click Cancel to cancel the action.
